The Benefits Compliance Senior Specialist is responsible for ensuring compliance of employee benefit plans and processes with federal and state regulations and requirements, including reporting, disclosure and testing in partnership with ERISA and Privacy counsel.
The Benefits Compliance Specialist interacts with internal and external partners and has primary responsibility for health and welfare plan compliance. Also:
- Responsible for managing the timely payment of benefits department invoices, ensuring accuracy and compliance with company policies.
- Create and process purchase orders (POs) for vendors, maintaining proper documentation and tracking to support financial reporting and reconciliation.
- Collaborate with internal teams and external vendors to address discrepancies, resolve billing issues, and maintain positive relationships.
- Assist in streamlining processes to improve efficiency in invoice and PO management. Handle participant appeals related to benefits, ensuring compliance with plan provisions and regulatory requirements.
- Collaborate closely with the legal department and third-party benefits administrators to review, analyze, and resolve appeals in a timely and accurate manner.
- Maintain thorough documentation and communication throughout the appeals process while providing exceptional support to participants and ensuring alignment with company policies and legal standards.
- Serve as a point of contact for resolving escalated team member issues, ensuring timely and effective resolution while maintaining a high level of professionalism and confidentiality.
- Investigate and address complex concerns by collaborating with internal stakeholders, such as HR, legal, and benefits vendor partners to develop appropriate solutions.
- Provide clear communication and guidance to team members, ensuring their concerns are handled with care and aligned with company policies and procedures.
Job Responsibilities
- Assists in the creation, customization and quality review of comprehensive ERISA plan documents (including Summary Plan Descriptions)
- Responsible for keeping up to date benefits plan information for Case Management System and internal HR Partners
- Assists in the preparation and management of the 5500s filing.
- Ensures medical health insurance policy is compliant with the regulations set forth in the Affordable Care Act.
- Assists in the preparation and management of the non-discrimination testing requirements
- Monitors and assesses proposed and enacted federal and state laws and regulations affecting company-sponsored benefit plans. Brings to Benefits management and legal's attention as necessary.
- Responsible for the preparation, maintenance, and distribution of Summary Plan Descriptions (SPDs), Summary of Material Modifications (SMMs), Summary Annual Reports, Summary of Benefits Coverage and other required disclosure documents, with emphasis on participant communications and disclosures related to health and welfare plans.
- Provides support on special projects as assigned.
- Assists with responding to escalated team member questions related to benefits.
- Assists in the annual evaluation and analysis of benefits costs. Presents findings to management to help identify any gaps and opportunities.
- Assists with the implementation and integration of benefit plans for acquired companies.

Basic Qualifications
- Bachelor’s Degree and at least 1 year of experience in employee benefits OR High School/GED and at least 4 years of experience in employee benefits.
- Experience using time management skills such as prioritizing/organizing and tracking details and meeting deadlines of multiple projects with varying completion dates.
- Experience in identifying operational issues and recommending and implementing strategies to resolve problems.
- Experience establishing & maintaining relationships with individuals at all levels of the organization, in the business community & with vendors.
- Experience developing benefits communications.
- Experience ensuring benefit plans are in compliance with Employee Retirement Income Security Act (ERISA) and Affordable Care Act (ACA) guidelines
- Knowledge of Section 105 and 125 rules from the IRS Code, COBRA and HIPAA.
- Willing to travel up to 10% of the time for business purposes (within state and out of state).
Preferred Qualifications
- Bachelor’s Degree with at least 2 years of experience OR High School/GED and 5 years of experience.
- Certified paralegal.
- Experience with databases such as Microsoft Access.
- Experience ensuring compliance with ERISA for Health and Welfare benefits.
Salary Range$79300 - $127000 / Salaried
